External notetakers join Teams as meeting assistants. That makes them visible to the organizer and participants. They may wait in the lobby, and the organizer can deny entry.
Microsoft also gives IT administrators controls for managing or blocking external meeting bots. In a company tenant, your preferred bot may never reach the call.
Copilot depends on licensing, organizer choices, and meeting policies. Some during-meeting Copilot modes use temporary speech-to-text data. A saved transcript and post-meeting Copilot use require transcription to be on. Teams notifies participants when recording or transcription starts, and an organization can require explicit agreement.
